The Big Problem: Slow and Costly Deliveries

Kalviyae Thanam Academy used to print all their books in Chennai and then send them to students living in places like Madurai, Coimbatore, Salem, and Tirunelveli. This caused many headaches:

Our Simple Solutions for a Big Impact

We didn’t suggest complex, expensive software. We looked at simple, practical ways to fix their problems. Here’s what we did:

1. Thinking Local, Acting Local:

Instead of printing all books in Chennai, we helped them find reliable local printers and small delivery services in key cities across Tamil Nadu. For example, for students in Madurai, books were printed by a local press in Madurai itself. For Coimbatore students, a local printer in Coimbatore handled it. This cut down travel time and cost a lot.

  • Example: For their students in Trichy, we partnered with “Sri Krishna Printers” right there in Trichy. Once printed, the books were delivered locally using a network of small vans or even trusted auto drivers, often reaching students the same day!

2. Smart Inventory – Not Too Much, Not Too Little:

They used to print many books at once and store them. This meant some books just sat there, taking up space and money. We helped them adopt a “just-in-time” approach. This means they only print books when they are almost ready to send them out, based on student enrollments for the next batch. This saved storage costs and reduced waste.

  • They learned to predict how many books they needed for the next month for each region. So, if 50 students enrolled from Salem, they would print exactly 50 books from their Salem partner, not 500.

3. Easy Tracking with Simple Tools:

We didn’t build a fancy app. We used simple tools that everyone understood. They used a shared online spreadsheet (like Google Sheets) and a dedicated WhatsApp group. When books were sent, the local team would update the sheet, and a quick message on WhatsApp would inform the main office. This way, everyone knew where the books were.

  • The local delivery person, “Kumar Anna” in Villupuram, would simply snap a photo of the delivered books and send it to the WhatsApp group, confirming delivery instantly!

4. Training Local Teams:

We trained their local staff in different cities on how to manage the process – from coordinating with local printers to overseeing deliveries. This empowered them and reduced the load on the main office.

The Amazing Results!

After implementing these simple changes, Kalviyae Thanam Academy saw incredible improvements:

  • Faster Delivery: Books now reached students in 1-2 days, instead of 5-10 days. Happy students, happy parents!
  • Cost Savings: Their shipping costs dropped by nearly 30%! This meant more money for improving their courses.
  • Fewer Damages: Local handling meant fewer chances for books to get damaged.
  • Happier Students: Students received their materials on time, which helped them start studying faster and feel more confident.
